The Records Technician supports the Records Center at the Global Services Office, which predominantly works with billing and accounting files, as well as files from all other departments in the office. He/she will organize files and enter records into the LegalKEY records database, including entries for electronic files and databases. The Records Technician will assist in organizing and processing all records in the office, primarily finance and accounting files as well as assist in these other critical functions:
- Responds to requests for files, checks out files, and prepares reports as requested. Researches and retrieves appropriate files using all search tools available in the department, including electronic resources, such as LegalKEY.
- Prepares new files both physically and within the records database, provides correct data entry and identification for new records, and maintains existing files. Detects and corrects discrepancies between index entries and physical documents.
- Assists with box archiving to offsite storage, as well as records retention and destruction for the office.
- Assists with records space management; organizes and classifies large document collections in the Records Center and other records space within the office.
- Provides support for all aspects of department services as needed; periodically assists with special projects, including firmwide projects, legal holds, or electronic document reviews.
Job Requirements
As a Records Technician, you should have the ability to follow consistent procedures and display an attention to detail in all work activities. The successful candidate should have well developed and professional interpersonal skills, and the ability to effectively interact with management, support staff, and outside contacts, as well as the ability to work in a team environment with a customer service focus. Strong communication skills, both written and verbal are required, in addition to the ability to handle confidential and sensitive information with the appropriate discretion. Organizational skills are needed to manage time well, prioritize effectively, and handle multiple deadlines. Knowledge of records principles and practices is required, as well as knowledge and proficiency in PC applications used by the Records Department, including MS Office. Knowledge and experience with Legal KEY records software is preferred.
High School Diploma or equivalent is required, and a Bachelor’s degree is preferred. Two (2) years relevant Records experience desired, preferably in a law firm Records Department. Experience in other law firm positions having significant document organizational responsibilities may be considered in lieu of directly related Records experience. Heavy lifting of archive boxes and other materials weighing up to 40 pounds is required. The height of the stacks is usually from five to seven feet and the individual should be able to reach the topmost shelf, with the help of a stool.
